Privacy Notice

The Binder is the planning tool for the ward's youth organizations. It replaces the paper binders our presidencies used to carry. It is run by Jordan Rogers, a member of the ward, for the ward's youth leadership, and it is not an official product of The Church of Jesus Christ of Latter-day Saints.

What we store

Names, birthdates, and contact information for the youth in the ward and their parents or guardians, plus each youth's class or quorum, calling, and priesthood office where that applies. We also store the things a planning binder holds: lesson schedules, activity plans, sacrament assignments, presidency meeting notes, and group budgets. Leaders' names and contact information are included so families can reach them.

Where it comes from

Ward membership records and the leaders who serve your youth. Nothing here is collected from youth through the app itself; adult and presidency leadership enter and maintain it.

Who can see what

Access requires a personal, invited account. What each account can see is enforced by the database itself, not just by the screens. Presidencies and leaders see their own group. Ward youth leadership sees the ward. Parents get a read-only view of their youth's group: the calendar, lessons, and activities, with a names-only directory. Parents do not see other families' contact information or birthdays. Nothing is public.

Where it lives

The database is hosted with Supabase and the app with Vercel, both in the United States. Sign-in emails and account reminders are delivered by Resend. If you turn on push reminders, your device's push service (Apple or Google) delivers them; you can turn reminders off per device at any time.

If your ward enables signup reminders, an invited account that has never signed in may receive up to three emails, at least a week apart. They stop after sign-in, removal of access, or use of the stop link in the email. We store reminder attempts and your stop preference so the app can respect these limits.

If your ward enables check-in reminders, an account that has signed in before may receive an email after more than two weeks without recorded activity or sign-in. We check the latest of those two times and send at most one check-in email every two weeks while the account remains inactive. The stop link turns off both signup and check-in emails. Accounts without current access do not receive these reminders.

Ward admins can see your last sign-in and the approximate time you last used the signed-in app. Activity updates at most once every five minutes while you open or interact with Binder online. We keep only the latest timestamp, without recording which pages you read, what you type, or a history of your actions.

What we never do

No advertising. No selling or sharing of member information. No third-party analytics or tracking. The information in The Binder exists for one purpose: helping our youth organizations minister to and plan for their members.

To diagnose sign-in and refresh problems, we keep a random support ID, a general event or error category, installed-app or browser mode, connection state, build ID, time, and ward after sign-in. These support events do not include an email address, sign-in code, page content, query string, or full browser identifier.

About minors

Most of the people in this binder are youth ages 11 to 18, so we treat everything here as sensitive. Any parent or guardian can ask what is stored about their family, ask for a correction, or ask for removal, and we will act promptly.
